Office life: 6 resolutions for 2020!

Like every year in January, everyone has their own good resolutions to keep with the utmost determination, and is preparing to abandon them in a few weeks. To start the new year in the best possible way (at least on the professional side), Deskeo gives you 6 good resolutions to adopt at the office. Follow the guide!

1. Limit your daily stress

Stress in the office is THE "evil of the 21st century", 94% of workers are victims of it. There are various ways to limit the anxiety of employees. Favouring flexible working hours and teleworking, recognising the successes of your teams, managing your working time in an optimal way by using, for example, platforms for organising and distributing tasks, limiting the sending of emails outside of working hours... A healthy diet and the practice of a regular sporting activity are also important factors in reducing your anxiety level.

In general, having tasks that correspond to one's skills, clear objectives and feeling that one is progressing within one's company are the major points that allow one to feel good in the office. If everyone can contribute to the well-being of his or her colleagues by making a contribution, a caring company is above all a company that is managed in a caring manner...

Practical: The daily operational management required for offices is a significant source of stress for all your employees: management of service providers, time-consuming tasks, maintenance, etc. Deskeo takes care of the smooth running of your spaces and acts as a link between all the parties involved, a source of less stress!

2. Doing something for the planet

The role of companies in global warming is no longer in question. A company in 2020 must be eco-responsible, at least in its daily organisation. Internally, many solutions can be envisaged, including

  • Making recycling bins available,
  • Banning plastic cups, bottles and cutlery within the company,
  • Having a real kitchen area to allow employees to heat up their meals and thus limit the plastic packaging provided by restaurants,
  • Recommend the use of an eco-responsible search engine such as Lilo
  • Recommend the use of anti-waste applications such as Too Good To Go
  • Limiting energy consumption with motion detector lights
  • etc.

Recent studies have shown that office property is a polluting industry. Long-term commitments (3-6-9) force companies to take up more space than they need, in anticipation of future growth. Each move uses a lot of resources (discarded furniture, construction, materials, etc.).

Did you know that? Choosing Deskeo for your offices is also a way to reduce your carbon footprint! By opting for a flexible commitment, you can optimise your moves for years to come, with better use of furniture and pooling of resources. By the way, our architects specialising in workspace optimisation have the right reflexes to help your teams be more eco-friendly in the office (sorting bins, glass bottles, coffee machines without capsules, etc.).

3. Taking care of your working environment

Happy employees are productive employees. Socialisation and exchange within the office is therefore an essential aspect. For this reason, it is necessary to think about the creation of mixed spaces for your employees as early as the design phase of the office. Everyone knows that a kitchen is necessary, with a space for lunch or coffee. The design of these spaces varies from company to company but should be designed with the users in mind, with comfortable seating, modern equipment and stylish decoration.

Similarly, creating informal spaces within the office itself allows employees to vary the working atmosphere and to meet more easily during impromptu meetings. The use of phone booths also makes it possible to make calls in a more confidential manner and avoids noise pollution in open spaces. Finally, creating places dedicated to relaxation or well-being (when possible) encourages moments of collaboration - table football, nap room, quiet room, sports room, etc.

4. Stop tinkering

Your offices are the image of your company. You welcome your employees, your clients, your partners and they must reflect your culture, your values and your brand image. There's no mystery about it, for a quality and lasting result, it's best to call in the experts.

Changing offices requires taking into account many issues: negotiation, space planning, site management, architecture, decoration, installation of the IT system, delivery of furniture, etc. Of course, you can supervise all these aspects and devote your time to them, but this will take time and energy, and may slow down your productivity. In 2020, be sure to delegate this project management to an expert who will be able to ensure that the plans and timelines are properly followed.

Practical: Deskeo is a complete real estate solution. 5. No more traditional "3-6-9" leases

In an increasingly fast-moving world, companies lack long-term visibility on their workforce - and therefore on their property needs. The cost of renting an office and in particular the heavy CAPEX expenses (decoration, furniture, refurbishment, etc.) incurred by any head office move are often a brake on business development. Finally, leaving a 3-6-9 lease is extremely restrictive and generally requires a search for a successor for the offices.

But that was before! There are alternatives to the 3-6-9 lease which is no longer adapted to the needs of most companies. 2020 must be the year of flexibility! Don't let your lease dictate your growth, and look to flexible commitments that grow with your business.

To know more: Deskeo allows you to have 100% private office space with flexible conditions (commitment, guarantees...) without sharing your offices with other companies. The perfect balance between a classic lease and coworking. Discover our flexible offices in Paris, the inner suburbs and Lyon.

6. Put an end to repetitive meetings

According to an OpinionWay survey, almost one meeting in two (48%) is considered unproductive. If you spend your time in meetings, you'll readily admit that they are rarely prepared, focused and generally effective. Some tips for productive meetings:

  • Prepare an agenda (and ideally send it to participants in advance of the meeting)
  • Limit the duration, ideally 30 minutes, never more than an hour
  • Limit the number of participants, keep in mind the pizza rule! (if a large pizza is not enough to feed all the participants, it means that there are too many of you)
  • Be careful with the time, respect the privacy of your colleagues (not too early, not too late). Also, avoid meetings at 2pm, otherwise your participants will start to nose dive!
  • Keeping a record of the next steps

In general, keep in mind that a successful working meeting requires preparation. The more people you have, the more preparation you will need: booking the room, optimal configuration of the room according to the type of meeting (in a U-shape, in a theatre, etc.), welcoming the participants, ordering catering, cleaning up between meetings, etc. If your meeting turns out to be useless, imagine the productivity costs for your teams!

Practical: For successful business meetings and events, consider a change of scenery! Relocating your business meetings allows participants to feel more involved, to change their point of view and to boost their creativity. Deskeo offers meeting rooms in Paris, as well as in Levallois, La Défense, Lyon... We manage the entire organisation and our expert team knows how to make your meetings unique, pleasant and successful.
